Summary
The Ontario Arts Council (OAC) has been given the responsibility to manage and administer the Indigenous Culture Fund (ICF) with Indigenous staff on behalf of the Government of Ontario. ICF was created to support Indigenous communities, culture and way of life activities. The ICF is Ontario’s largest public fund dedicated to supporting a broad range of Indigenous community-based and culture-focused activities.
The Program Administrator will provide comprehensive and varied administrative support for the ICF granting programs, and in support of the overall smooth functioning of the operations of the unit, including special projects and initiatives.
Key Responsibilities
Program/Office Support
- Provide comprehensive administrative support throughout the grant application process and for the general operations of the unit
- Monitor the ICF e-mail account, and respond/forward accordingly
- Create, maintain, and update the contact databases
- Draft the ICF program(s) administrative timeline (critical path)
- Work closely with the ICF Manager to ensure consistency of program language and eligibility on the website, on-line application system, presentations, and supporting documents
- Maintain and update documents, support material and the webpages
- Assemble resource materials for outreach sessions
- Provide customer service support and information regarding program eligibility, the application process and navigating on-line granting system
- Coordinate, track and process all requests for alternative and accessible formats
- Check applications for eligibility
- Coordinate and schedule meetings and take notes and minutes
- Coordinate arrangements and technical support for webinars and podcasts
- Coordinate the arrangements for the assessment panels, such as booking meeting rooms and catering, arranging travel, contacting jurors, etc.
Key Qualifications
- Post-secondary education in business administration or other relevant area of study
- A minimum of 3 years of experience in customer service, business administration or a related role
- Experience working directly with and supporting Indigenous communities
- Very familiar with Indigenous protocols and community outreach methods
- Strong oral and written communication skills in English, with excellent plain language writing, editing/ proofreading
- Proficiency in an Indigenous language is an asset
- Experience interacting and communicating sensitively and successfully with a diverse range of individuals with a customer service focus
- Strong technical skills and advanced proficiency in MS Office Suite (Excel, Word, Outlook, PowerPoint) and with database and web-based programs
- Proven experience updating presentations, resources, forms, web page edits
- Strong administrative and organizational skills
- Ability to multitask and prioritize and be flexible in handling ever changing demands
- Team player
- Good judgment
- Ability to work overtime on occasion and travel, if required
- Knowledge of the province geographically and by population an asset
